Apptendance provides a guest and children check-in system for churches, schools, and similar organizations. This Privacy Policy explains how we collect, use, and protect personal information when parents, guardians, and authorized users enter data into our system. By using the Service, you agree to this Privacy Policy.
When an organization uses Apptendance it decides why and how personal information is processed. That organization is the data controller. Apptendance provides the platform on the organization's behalf. Apptendance is the data processor and service provider. For example, Claremore Church acts as the controller for its congregation data, and Apptendance is the processor.

We do not collect personal information directly from children under 13. All child information must be submitted by a parent, guardian, or authorized adult.
We also collect technical and usage data such as IP address, device and browser type, pages or features used, and cookies that support secure sessions and core functionality.
We do not sell personal information. We do not use children’s information for advertising.
Where required, we rely on consent from parents or guardians, performance of a contract with the controller, and our legitimate interests in providing and improving the Service. Controllers are responsible for ensuring a valid legal basis for their use of Apptendance.
The Service is intended for use by adults. We do not knowingly collect information directly from children under 13. By entering a child’s information, the parent or guardian confirms they have authority to do so and consents to collection, storage, and use for attendance, safety, and program administration.
Parents and guardians may review, correct, or request deletion of their child’s information through the organization or by contacting Apptendance support. If we learn that data was submitted without verified parental consent, we will delete it.

Controllers set retention periods for their records. Apptendance retains personal information for as long as the account remains active or as needed to provide the Service, resolve disputes, and meet legal obligations. Upon verified request, data can be deleted or anonymized.
We use appropriate technical and organizational measures such as encryption in transit, access controls, and secure hosting. No method of transmission or storage is completely secure. We cannot guarantee absolute security.
We use cookies and similar technologies to keep you signed in, remember preferences, and measure usage that helps improve the Service. You can control cookies through your browser settings. Some features may not work without cookies.
Apptendance primarily stores data in the United States. If data is transferred across borders, we use lawful transfer mechanisms.
Depending on your location you may have rights to access, correct, delete, or restrict processing of personal information. You may also have rights to data portability and to object to processing. To exercise these rights, contact your organization or contact Apptendance support and we will coordinate with the controller.
California residents can request information about categories of personal information collected and disclosed. Apptendance acts as a service provider to controllers and does not sell personal information.
Organizations that use Apptendance are responsible for posting their own notices, collecting any required consents, setting retention, honoring deletion requests, and responding to parent or guardian inquiries. Apptendance will support controllers with tools and reasonable assistance.
We may update this Privacy Policy from time to time. We will post the updated version with a new effective date. Material changes will be communicated through the Service or by email when appropriate.
